1. Contact the Cole Auditorium about availability. Available dates, especially weekends, book quickly. We will be glad to hold the date for your event free of charge.
2. Request information packet. Information packet includes fee brochure, facility information sheet, estimates of fee costs, and Event Planning Guide. Event Planning Guide contains contact information for some companies that provide catering services, disc jockey services, photography/videography, and rental companies. Ask friends and family for additional contacts.
3. Schedule an appointment to tour the facility and discuss event and fees charged, facility requirements, insurance and catering requirements, and amount of time for which the facility is to be rented.
4. Sign contract and pay 25% deposit. Discuss basic space needs, desired setup of tables, chairs and other event elements. Schedule date of final payment.
5. Confirm insurance and catering service used. Notify staff of schedule for delivery of rented items and decorations.
6. Make final payment and last confirmation of table/chair setup no less than 14 days prior to the event.
